ALAS Form Process

Updated guidance regarding leave requests: 

Per UCSD policy and as outlined in more detail here - https://vchs.ucsd.edu/administration/aa/for-faculty-and-academics/leaves.html - certain leaves, including those to attend professional meetings or conferences, must be reported and approved in advance.

To ensure that department faculty and academic appointees are not in violation of University Policy and as an added protection for faculty - per (PPM 230-10), “…if an academic appointee suffers accidental death or dismemberment during travel for which preapproval was not obtained, any supplemental death benefit provided may be forfeited, ” the Department reinforces this policy.

Within the School of Medicine, ALAS requests are approved as follows: 

  • Leaves up to ten (1-10) business days are under the authority of the Department Chair (Submission required at least 14 days in advance)
  • 11 days to 1-year require endorsement by the Chair and approval by SOM/VCHS Academic Affairs (Submission required at least 30 days in advance)
  • >1-year requires endorsement by the Chair and SOM/VCHS Academic Affairs and approval by the EVC (Submission required at least 60 days in advance)

ALAS form requirements for all Faculty & Academics: 

All Faculty and Academics engaged in research-related leaves and attendance at professional meetings, must submit an Academic Leave of Absence/Sabbatical (ALAS) form to their Division Administrator prior to their leave. Upon division approval, leave requests will be forwarded to the Department of Medicine Chair’s office via medchair@health.ucsd.edu for Chair review.

ALAS form requirements for Division Chiefs: 

In addition to ALAS forms for research-related leaves, Division Chiefs only are asked to provide an ALAS via medchair@health.ucsd.edu for personal/vacation leaves. This is part of our Department practice to ensure the Chair is aware of absences and to know who the division delegate is.

Summary of Requirements: 

As noted in the table below, Faculty/Academics are asked to submit an ALAS form for conferences and research-related activities. Division Chiefs are asked to submit an ALAS form for conferences, research-related, and vacation/personal activities.

Extended leaves, including Child and Family Related Leaves, Medical, Military, and Sabbatical leaves are processed via the Academic Resource Center (ARC). Please refer to policy for submission deadlines.
